Role Purpose
The US Sales Tax Specialist is responsible for the end-to-end lifecycle of Sales and Use Tax compliance across multiple US jurisdictions. This role ensures that the organization remains compliant with evolving state and local tax laws through precise data analysis, timely filings, and robust audit support.
Key Responsibilities
1. Tax Compliance & Filing
- Returns Management: Prepare and file monthly and quarterly US Sales and Use Tax returns for various states and local jurisdictions.
- Deadline Oversight: Act as an expert in managing tax calendars to ensure 100% timely and accurate filings.
- Exemption Management: Assist in the validation and management of sales tax exemption certificates for customers and vendors.
2. Financial Reporting & Reconciliation
- General Ledger: Reconcile tax accounts and ensure accurate GL postings for indirect
- Data Analysis: Extract and analyze tax data from ERP systems (SAP, Oracle, NetSuite) to assist in tax accruals.
- Audit Support: Provide comprehensive documentation and support for both internal and external indirect tax audits.
3. Advisory & Process Improvement
- Notice Resolution: Act as the primary point of contact for state/local tax authorities to resolve discrepancies and respond to tax notices.
- Tax Research: Conduct technical research on sales/use tax laws to provide guidance on transaction taxability.
- Continuous Improvement: Propose and draft process changes with supporting documentation to increase compliance efficiency and accuracy.
- Cross-Functional Collaboration: Partner with internal teams to ensure correct tax treatment is applied at the point of transaction.
Candidate Profile & Qualifications
Education & Experience
- Academic: Bachelor’s degree in accounting, Finance, or a related
- Experience (Specialist): 2–3 years of hands-on experience in US Sales and Use Tax (Industry or Public Accounting).
- Experience (Team Lead): 5+ years of relevant experience for those applying for leadership oversight.
- Small Business Focus: Minimum 3 years of expertise in US state/local pass-through tax
Technical Skills
- Software Proficiency: Expert knowledge of QuickBooks Online.
- Compliance Tools: Familiarity with automated tax engines such as Vertex, Avalara, or Sovos is highly preferred.
- ERP Systems: Working knowledge of SAP, Oracle, or
